The 'Email' and 'Fax' buttons will send the message to the recipient(s) in the 'To' and 'cc' fields (clicking 'Email' will send the message only to e-mail addresses, and clicking 'Fax' will send it only to fax numbers). To add more than one recipient, separate the coordinates by a semi-colon (;).
Once you've clicked 'Email' or 'Fax' from the 'iMagic Message' screen, your message gets passed to Mail Sender.
The 'Append' button will let you add several itineraries together in one transmission. Simply leave the iMagic screen open with your first itinerary, then prepare your next one. When you change back to iMagic, use the Append button. You will be offered the choice of appending from the clipboard or having iMagic perform the appending automatically. The new itinerary (or text) will add itself to the bottom of the first.
The 'Open' and 'Save' buttons work together. 'Save' allows you to save a message for later use on your computer; the saved message can later be loaded by clicking the 'Open' button and selecting that message from the choices available. Please note, however, that every message you send is automatically saved in your archive. These 'Open' and 'Save' buttons are for when you want to save an unsent message for sending at a later time.
The 'Print' button will print the body of the message (including the pictures, but not the background) on your default printer.
Choosing an e-mail address or fax number from your Contacts database:
- Sort by companies:
If this box is checked, the list of contacts will be sorted alpha-numerically by Company Name. Also, the "Show 'Surname, First name'" option will be de-activated.
- Show 'Surname, First name':
If this box is checked (only if the "Sort by companies" option is NOT checked), the list of contacts will be sorted alphabetically by Last Name. If it is not checked, the list of contacts will be sorted alphabetically by First Name.
- Dbl-click adds Fax:
With this box checked, double-clicking on a contact in the list will add their fax number to the 'To' field of the message screen. If it is not checked, double-clicking the contact will add their primary Email address (Email 1).
- Close on select:
If this box is checked, the database screen will close after you've selected one recipient; otherwise, the screen will remain open, allowing you to choose as many recipients as you wish until you click the 'Close' button in the lower right-hand corner.
- The 'Select' buttons:
Clicking the 'Email 1', 'Email 2', or 'Fax' buttons will add the corresponding information of the selected contact from the database screen to the list of recipients (it will add to the 'Bcc' field if there's already one in the 'To' field). If there is no corresponding information in the particular chosen column, nothing will be added to the list of recipients.
1) Send Plain Text Option
If you know that the recipient cannot or does not want to receive HTML e-mail (that is to say e-mails with the selected template), you would select this option. The e-mail message will be sent as a plain text message. This option is available as a 'permanent' option for individual contacts in your Contacts database.
2) The '+' Button (auto-subject, if applicable)
This button next to the subject line of your message will toggle between the subject line of the last message sent and the 'Itinerary for [PASENGER NAME]' line (if any) that iMagic has captured from your itinerary/invoice. Remember that subject lines do not transmit with faxes, only with e-mailed messages.
3) Fax Cover Sheet Option
By putting a checkmark in the option box, or clicking on the button just to the right of it, the screen below will appear and you can include a fax cover sheet and/or a file attachment with your fax transmission.
- Attn:
Put the name of the intended recipient of the fax in this field.
- Subject:
Enter the desired subject line of the fax cover page here.
- Cover Page:
With this option checked, this is what will be used as the background (or "overlay") of the fax cover page. This is defaulted to 'Cover1.fcs' and should not be changed unless advised to do so by MagnaTech support staff.
- File attachment:
With this option checked, the file written in the box to the right will be attached to the end of the fax transmission. The file name that you type here must exist in the "...Tfax/public" folder of the computer with the Hydrafax program running on it and should have a ".fax" extension. These file-types should be created by us. If, for example, you have a credit card authorization form that you'd like to have attached to some of your faxes, you should get in contact with us and we can create the proper file-type for you.
- Message:
Type the desired message text of the fax cover page in the box provided. This message will only be sent if The Cover Page option is checked.
4) The 'Edit Itin' Button
Clicking this button (or double-clicking inside the itinerary area of the message) is the only way you can edit the contents of the itinerary. This is particularly useful when sending a fax, since this is the only portion of the message that gets sent in a fax transmission. When you click the 'Edit Itin' button, the screen below will appear, allowing you to edit or add to the text of the itinerary.
- Itineraries & Invoices:
If your message has more than one itinerary (or appended text) in it, this list will include them all and you can edit each one individually. The list will start at 'Itinerary 1' (the top-most itinerary in the message) and continue as 'Itinerary 2', 'Itinerary 3', etc. until it reaches the last itinerary (or appended text) in the message.
- Prepends & Signatures:
This is a list of the prepends and signatures that are already loaded into the message by default from the Signature & Prepend screen. Each one can be edited individually.
- Insert:
- New:
When you click this you will be asked if it's a new prepend or signature and it will create a new segment for whatever you choose. You simply write your message into the screen and this will be included (in the order in which it was created) in the message to be sent. This will not save the newly created signature or prepend for future use...it is only for this message when it is done this way.
- File:
By clicking this button, you can choose to insert any of your existing signatures or prepends into the message that are not already loaded by default. A box will pop up giving you the choice to select either a prepend or a signature from among your existing ones.
- Page Break:
If you are in the middle of a segment and you want to force a page break, simply put the cursor at the point at which you want the next page of the fax to begin and click the Page Break button. This will insert a '[[FF]]' into the text and the next line of text below that will begin on a new fax page when the fax is sent to the recipient. The '[[FF]]' will be removed from the body of the message as it is being sent, so that the recipient does not see it.
- Finished?:
- Apply:
Clicking this button will apply all changes made to the itinerary (and/or signatures and prepends) and bring you back to the iMagic message screen with the edited segment(s) in it.
- Cancel:
This button will cancel any changes made and bring you back to the iMagic message screen with the unchanged segment(s) in it.
