Instructions for Worldspan Users

Creating a Message

As you saw earlier in the manual, clicking 'New Message' will open up a blank 'iMagic Message' screen with your chosen template as the backdrop.

Once you've clicked 'Email' (or 'Fax' if the faxing feature is available) from the 'iMagic Message' screen, your message gets passed to Mail Sender.

Clicking the 'FastClips' button of the iMagic menu should not be necessary, as long as you've set up the options properly. To see more on this, read the following 'FastClips' section, then go to Worldspan Options below.

FastClips

When iMagic is installed on your computer, it includes a script that is run in your WorldSpan environment. It is important to follow the instructions below so that iMagic interacts properly with your reservation screen.

Adding the iMagic Button to your WorldSpan Toolbar:
In your 'Reservations Manager' screen, click on the 'Config' menu and select 'Customize Toolbar...'. This will take you through the sequence of events seen below.


Click on 'Add...'

For 'Button Label', type in 'iMagic' and make sure to select 'Script' for 'Button Type' before clicking 'OK'.

Scroll down in the list of available scripts until you see 'imagic' and highlight that and click 'OK'. You will then be brought back to the 'Customize Toolbar' panel seen above, at which point you will click 'Close'. If you don't see 'imagic' in the list, call MagnaTech's technical support at 888-393-3602 and ask for help.

Using the FastClips in Your Reservation Screen:
Now that you have the iMagic button in your WorldSpan toolbar, you're ready to go. However, if this is the first time a fastclip is being run in your system, you may have to follow a few more steps. Click here to see those steps.
With a record in your CRS screen, clicking the toolbar button will pop up a small screen asking you to choose 'Invoice' or 'Itinerary'. Once you've made this choice, an 'iMagic Message' screen will open up with the itinerary or invoice in it. All that's left to do at this point is insert the e-mail address (or fax number) and add some personal notes (optional, for e-mail only) and click 'Email' or 'Fax'. See 'Finding E-mail addresses/Fax numbers' below for information on how to have iMagic look for e-mail addresses or fax numbers in your CRS and use them, so you don't even have to type in a customer's coordinates.

NOTE: Remember, in a 'blank' message, what you write directly on the screen will be transmitted by e-mail only. When faxing a 'non-itinerary' message, you should click on the 'Edit Itin' button of the iMagic Message screen and type in your message there.

Finding E-Mail addresses\Fax numbers

Using a 5RM- entry in the PNR, you can place the e-mail address (or fax number) of the recipient in a remark field so that it will be included in the body of your itinerary.

E-Mail addresses:

iMagic scans the exported remarks (5RM-) of your itinerary (or invoice) for a line containing -EMAIL- followed by the client's Email address.

example:5RM--EMAIL-yourclient@theirdomain.com

If your CRS does not let you use the '@' symbol in a remark, simply replace it with an asterisk (*). iMagic will find that and replace it with the '@' before sending.

iMagic will also look for CCs in a remark field. This is put in the same as above, except to specify a CC address in remarks use -CC-. Make sure that each e-mail address you want to use is on a separate remark line, with no other information in each remark.

example:5RM--CC-yourclient@theirdomain.com

Fax numbers:

iMagic scans the exported remarks (5RM-) of your itinerary (or invoice) for a line containing -FAX- followed by the client's fax number as you would dial it (including the 1 for long distance calls and with no dashes in the number) and a period at the end.

example:5RM--FAX-12345678910.

NOTE: The CC option does not apply to fax numbers.

            Note: iMagic will remove these remarks from the body of the message before it is sent to the recipient(s).

WorldSpan Options

Using WorldSpan Fastclips

Look to remarks for:
Select 'E-mail address' and 'CC address' if you want iMagic to search remarks for customer coordinates as outlined in 'Finding E-Mail addresses\Fax numbers' above.

Location of files:
This is the path that iMagic will scan to look for itineraries or invoices saved by the iMagic FastClip. When it finds one, it will open the 'iMagic Message' screen with that itinerary or invoice in it. The default path is 'C:\TravFax' and should not be changed unless you notice iMagic having trouble opening the files (which would normally denote that it is not looking in the right place).

Check for files every N seconds.
This is how often iMagic scans the specified folder for a newly-saved itinerary or invoice file to be opened in an 'iMagic Message' screen. The minimum setting is 1 second and the maximum is 10 seconds.

First-Time FastClip Use

If this is the first time running a FastClip script, your WorldSpan screen may ask you a few more questions, similar to those outlined below.


Just click 'Yes' to this.

1) "Are you using...."
Just leave this defaulted to 'Yes'.
2) "Enter FastClip printer address"
This is the piece of information that, if you don't already know it, can only be obtained by calling WorldSpan technical support at 800-242-4525. Give them your agency identifier number and ask them for your FastClip printer address.
3) "Path to where itinerary files will be created"
The checkbox of 'Use default of' should be checked. This is usually the default established by Worldspan for your entire office's use of these types of scripts and is usually "E:\HOSTPRT", but it could be anything. You should normally put 'C:\TRAVFAX' in the space available below that (this is for iMagic's itineraries), but as long as it is the same path that you specified in the WorldSpan Options page of iMagic, it will be fine.

We suggest leaving the fields in this screen blank, since all the information it asks for will already be in your iMagic template for your messages.
